Run an ITAD RFP When Competition Can Change the Outcome
A formal ITAD RFP is useful when competition can materially improve service scope, IT equipment logistics, data security, value recovery, evidence or accountability. Start with the six signals below, then qualify the ITAD provider shortlist before anyone receives the document.
The ITAD Services Agreement Is Nearing Renewal
Begin 90 to 180 days before expiration so the team can evaluate, conduct diligence, negotiate exceptions and transition without renewing by default.
IT Asset Disposition Scope Has Outgrown the Agreement
New sites, asset classes, countries, data center work or remote-device recovery can make the original service and pricing model incomplete.

Build the ITAD Provider Shortlist From Verifiable Sources
Start with the official SERI R2, i-SIGMA NAID AAA, RIOS and e-Stewards directories. The EPA overview of certified electronics recyclers adds context. A corporate logo does not prove that the receiving facility and required service are in scope.
Invite three to five qualified providers when the evaluation team can assess every response consistently. Include the incumbent when the team needs a comparable record of current pricing, performance and commitments.
Set the Decisions First, Then Build the ITAD RFP
A response-ready ITAD RFP starts with accountable owners; a baseline of sites, IT asset classes and equipment volumes; data sanitization or destruction requirements; secure logistics and chain-of-custody controls; one comparable commercial model; and an evaluation method published before responses arrive.
Name ITAD Program Owners and Approvals
Record security, compliance, finance, real estate, technology and procurement requirements, evidence needs and exception authority before drafting.
Define IT Asset Scope and Equipment Volumes
Specify sites, countries, IT asset classes, access windows, estimated equipment quantities, work locations and responsibility for de-racking, packing, secure transport, data sanitization, remarketing, recycling and reporting.
Set Data Sanitization Requirements by IT Asset Class
Name NIST SP 800-88 Rev. 2 or the buyer-approved standard, the method, processing location, verification, failed-media path and serialized evidence.
Price One ITAD Service Scenario
Separate fixed and variable charges, logistics, labor, minimums, surcharges, deductions, IT equipment buyback or resale proceeds, unsold assets and settlement timing.
Publish ITAD Qualification Gates and Scoring
Set qualification gates, weighted criteria, evaluator instructions and evidence requirements before release, then document every score and approved exception.
Before release, convert each requirement into a field the responder must complete. Name the required artifact, format, owner, delivery point, timing and exception route. If volume is uncertain, publish a range and ask for rates at the low, expected and high case. If a service is optional, separate it from mandatory scope. Give every bidder the same written clarifications, freeze the approved baseline, and require an exception schedule that identifies every deviation instead of burying qualifications in narrative. That discipline is what makes the responses comparable.

ITAD RFP Questions That Require Evidence, Not a Yes
The strongest ITAD RFP questions make the responder show a control, artifact or calculation for each IT asset disposition requirement. Each category below pairs one procurement question with the evidence to request and the weak or unverifiable answer to reject.
Use these questions with every qualified provider, including ITAMG. Score the evidence, not the confidence of the presentation. A confirmation question such as “Are you certified?” is weak because it does not identify the certificate, receiving facility or covered service.

Qualify First, Then Score ITAD RFP Responses
Use two visible stages: mandatory qualification gates, then weighted scoring for providers that pass. Price and presentation quality must never offset an unmet security, custody, compliance or proposal requirement.
Five Pass-or-Fail ITAD Vendor Qualification Gates
A gate group passes only when every applicable underlying check passes. A Conditional result requires documented approval before Stage 2.

- Provider Eligibility and Legal Compliance Contracting entity, facilities, insurance, financial review, certification scope and applicable legal or compliance reviews verified.

Five Weighted ITAD Vendor Evaluation Criteria Totaling 100 Percent
ITAMG recommends these weights as a starting model. Buyers should adjust and publish the final percentages before issue.
Require each evaluator to cite the response page, artifact or demonstration that supports a score. Score independently before the consensus meeting, reconcile material differences in writing, and never convert a missing answer into a neutral midpoint. Use one buyer-defined pricing scenario for every provider so recovery assumptions and deductions cannot make unlike offers appear comparable.

Before selection, resolve every material exception and record the final evidence, score, approver and negotiation outcome. The award memo should show which provider passed each gate, how weighted points were calculated, why any assumption changed, and which accepted commitments must appear in the statement of work, service levels, pricing exhibit or reporting schedule.

Reviewers mentioned service expertise 16 times, overall cost 13, customer focus and responsiveness 12, breadth of services 9, and financial or organizational viability 3. Those counts inform the criteria, not the percentages. The weights are ITAMG's recommended starting model, not a market survey, and should be adjusted before issue.

What is ITAD procurement, and how does it differ from IT asset management?
ITAD procurement defines, sources, evaluates, contracts and governs services for retired IT assets. IT asset management governs assets across their lifecycle. ITAD procurement governs their controlled exit from use, including custody, sanitization, reuse, recycling, reporting and settlement. IT asset disposition is broader than IT asset disposal because it includes reuse, resale and value recovery when equipment retains market value.
How long does a formal ITAD RFP process take?
ITAMG recommends planning six to twelve weeks from issue through award, with distinct periods for responder questions, evaluation, references or facility review, negotiation and transition. Begin 90 to 180 days before contract expiration when renewal timing applies.
Should IT Asset Disposition Run In-House or Through an Outside Provider?
An in-house program can fit an organization that already operates approved sanitization, secure logistics, downstream recycling, reporting and audit controls at the required scale.
