Download the Free ITAD RFP Toolkit
ITAMG's ITAD RFP Toolkit gives procurement teams four files: an editable Master Template, a matching PDF reference, a blank Buyer Workbook and a completed fictional example. The toolkit is free, and no consultation is required.
Draft and issue your RFP with the Master Template. Use the blank Buyer Workbook to define scope, compare providers and document the award. Consult the completed fictional example to see how the inputs and decisions connect.
Toolkit access requires basic business contact information and acceptance of the Buyer Resource License. Start every live procurement in the blank workbook; use the completed example for learning only.

FOUR INDIVIDUAL FILES
What Is Included in the Free ITAD RFP Toolkit
Four individual files perform three jobs: issue the RFP, run the live evaluation, and show buyers what a completed workbook looks like.
Complete ITAD RFP Toolkit
The Master Template supplies the RFP in editable DOCX and matching PDF formats. The blank workbook supports your live procurement, while the fictional completed example shows how to use it. These four files cover drafting, evaluation and learning.
- DOCX ITAMG-ITAD-RFP-Master-Template.docx
- PDF ITAMG-ITAD-RFP-Master-Template.pdf
- XLSX ITAMG-ITAD-RFP-Buyer-Workbook.xlsx
- XLSX ITAMG-ITAD-RFP-Buyer-Workbook-Completed-Example.xlsx
Template
ITAMG ITAD RFP Master Template
Draft and issue a structured enterprise ITAD solicitation with buyer completion fields, bidder instructions, response schedules and a two-stage evaluation method.
Editable DOCX: ITAMG-ITAD-RFP-Master-Template.docx is the working file for the procurement owner to tailor, approve and issue. Its outcome is a response-ready solicitation.
Fixed-format PDF: ITAMG-ITAD-RFP-Master-Template.pdf contains the same Master Template content in a fixed-layout reference format for reviewers who need a stable layout.
Reduce blank-page drafting and make vendor scope, evidence and commercial responses more comparable.
- Ten RFP sections, including four pricing-critical sections
- Forty-eight core vendor questions across 12 categories
- Five qualification-gate groups covering 12 pass-or-fail checks
- Five weighted criteria with 25 criterion-specific scoring anchors
- Seven conditional modules for enterprise and specialized requirements
Best for: The procurement owner preparing the document bidders will receive and complete.

The appendices include the vendor response questionnaire; scope, responsibility, service-level, evidence and acceptance schedules; qualification and demonstration requirements; the pricing response structure; evaluated scenarios; contract carryover; conditional enterprise modules; definitions; authoritative sources; and the ITAMG Buyer Resource License.
Workbook

Editable production workbook: ITAMG-ITAD-RFP-Buyer-Workbook.xlsx provides editable buyer-input cells, dropdowns and protected formula and control cells for the cross-functional evaluation team. Use it from project setup through award and contract carryover.
Make scope, pricing, eligibility, evaluator judgment, approvals and contract carryover auditable.
- Eight readiness groups containing 64 checklist items
- All 96 vendor questions across 12 categories
- Pricing inputs and normalized cost comparison
- Five gate groups covering 12 qualification checks
- Five weighted criteria totaling 100 points with 25 scoring anchors
Best for: The cross-functional team managing scope, pricing, qualification, scoring, approvals and the final decision.

How to Use This Workbook is the dedicated first-tab operating guide. It explains protected cells, editable inputs, status meanings, setup, the 12-step workflow, troubleshooting, and pre-issue and pre-award checks.
Start Here, Program and Scope, Sites Assets Volumes, and Readiness Checklist establish the operating profile, objectives, owners, site and volume baseline, and readiness items to clear before issue.
Questions Requirements, SLA Evidence Due Diligence, Pricing Inputs, and Cost Comparison filter the question bank, define measurable service levels and evidence, collect comparable commercial inputs, and normalize total evaluated cost.
Qualification Gates, Weighted Scoring, Decision Carryover, and Sources Definitions apply the pass-or-fail checks, score qualified bidders, record the award and its exceptions, and preserve sources, definitions and review fields.
This production-use edition is intentionally blank. Do not use the fictional completed example as the working file for a live procurement.

Use the example to learn the workflow and interpret outputs before your team begins its own evaluation.
- Contains fictional reference data, not buyer production data
- Shows the intended relationship between inputs, gates, scoring and decisions
- Supports onboarding and evaluator alignment before live use
Best for: Buyers learning the workflow. Start every live procurement in the blank production-use workbook.

COMMON QUESTIONS
ITAD RFP Toolkit Questions
Is the ITAD RFP toolkit free?
Yes. The toolkit is free. Access requires basic business contact information and acceptance of the ITAMG Buyer Resource License. A consultation is not required.
Why is a form required?
The short business-information form supports the access request and records acceptance of the applicable ITAMG Buyer Resource License. Marketing consent is not included and is not required for toolkit access.
What files are included?
The toolkit contains four individual files: ITAMG-ITAD-RFP-Master-Template.docx, ITAMG-ITAD-RFP-Master-Template.pdf, ITAMG-ITAD-RFP-Buyer-Workbook.xlsx, and ITAMG-ITAD-RFP-Buyer-Workbook-Completed-Example.xlsx. The DOCX and PDF contain the same Master Template. The two workbooks provide a blank working file and a completed fictional example.
Which file should I download?
Use the DOCX to draft and issue your RFP, and the matching PDF for a fixed-layout reference. Start your procurement in the blank Buyer Workbook. Use the completed fictional example to learn the workflow.
What is the difference between the two Buyer Workbooks?
The blank Buyer Workbook is the production-use file for your live procurement. The completed workbook uses fictional sample data to demonstrate the same workflow and is for reference only. Never enter or retain live procurement data in the completed example.
Why are some workbook cells locked?
Protected formula and control cells help preserve calculations, dropdown behavior and workflow integrity. Enter project information only in the designated buyer-input cells.
Do I need Microsoft Excel?
Use a current Microsoft Excel desktop version that supports UNIQUE, BYCOL, TEXTSPLIT and LAMBDA, such as an up-to-date Microsoft 365 installation. Older Excel versions and other spreadsheet applications have not been tested.
Can I edit and share the toolkit internally?
Yes. You may customize the files for your organization's own ITAD procurement, apply your organization's branding to the completed RFP, and share the working materials with employees, advisers and consultants assisting with that procurement.
Can I use the toolkit with a provider other than ITAMG?
Yes. The toolkit is vendor-neutral and may be used to evaluate any provider. Downloading it does not require you to invite or select ITAMG.
Can ITAMG help tailor or review my RFP?
Yes. ITAMG offers a separate complimentary consultation to review a draft or help tailor the RFP. A consultation is not required to access or use the toolkit.
What should I do if a dropdown or formula does not work?
Open the file in the supported desktop version of Microsoft Excel, enable editing if prompted and confirm that you are working in an editable buyer-input cell. If the issue continues, use the ITAMG contact page to request toolkit support.
What use is not permitted?
Without ITAMG's prior written permission, no person or organization may sell, sublicense, host, republish, white-label, or redistribute the blank or reusable resources; use them as a lead magnet, training product, competing toolkit, public template, or multi-client consulting deliverable; or add them to a public AI training dataset or reusable public knowledge base.
Should accountable teams review the final RFP?
This resource is a procurement drafting aid, not legal advice or a complete statement of law. Before the buyer issues its completed RFP, the buyer must confirm applicability and requirements with legal counsel and accountable security, privacy, tax, environmental, trade, accessibility, finance, and operational owners.
